Who we are

Outsource Digital is a South African business. We supply business phone systems, copiers, CCTV and office furniture to companies in South Africa.

Outsource Digital is the data controller for the personal information described in this policy. That means Outsource Digital decides what is collected, why, and what happens to it.

Outsource Digital never sells or rents your personal information to anybody, for any reason.

Information collected through LinkedIn Lead Gen Forms

Outsource Digital runs adverts on LinkedIn that use LinkedIn Lead Gen Forms. A LinkedIn Lead Gen Form is a form that opens inside LinkedIn when you tap one of our adverts, so that you can send us your enquiry without leaving LinkedIn.

When you submit one of these forms, LinkedIn passes us the details you chose to share with us. Those details are:

• your first name
• your surname
• your work email address
• your company name
• your job title
• your LinkedIn profile address
• your answers to our short business questions, for example how many phones your business needs

LinkedIn fills these details in for you automatically, from the information already on your own LinkedIn profile. You can edit any of them before you submit the form, and you can choose not to submit it at all.

We use these details for one purpose only: to contact you about the enquiry you made and to arrange a meeting with one of our consultants. We do not use them for anything else, and we do not sell or rent them to anybody.

LinkedIn is a separate company. Your use of LinkedIn itself, and LinkedIn's own handling of your information, is covered by LinkedIn's own privacy policy, which you can read at https://www.linkedin.com/legal/privacy-policy. This policy covers only what Outsource Digital does with the details LinkedIn passes to us.

We keep these details only for as long as we need them to deal with your enquiry and to keep a proper record of our dealings with you. When we no longer need them, we delete them. You can ask us to delete them sooner at any time by emailing info@osd.co.za. We will do so unless the law requires us to keep them.

Information collected through Facebook and WhatsApp

Outsource Digital also runs adverts on Facebook and Instagram, which are owned by Meta. Some of those adverts open a WhatsApp chat with us, and some use a Meta lead form that works in much the same way as a LinkedIn Lead Gen Form.

When you tap one of those adverts and message us, or submit one of those forms, we receive:

• your WhatsApp display name and your WhatsApp phone number, if you message us on WhatsApp
• your name and company name, if you tell us
• your email address, if you tell us
• your answers to our short business questions, for example how many phones your business needs
• which advert you came from, so we know what your enquiry is about

We use these details for one purpose only: to reply to you about the enquiry you made and to arrange a meeting. We do not use them for anything else, and we do not sell or rent them to anybody.

Meta and WhatsApp are separate companies. Your use of Facebook, Instagram and WhatsApp themselves is covered by Meta's own privacy policy, which you can read at https://www.facebook.com/privacy/policy. This policy covers only what Outsource Digital does with the details we receive.

We keep these details only for as long as we need them, and you can ask us to delete them at any time by emailing info@osd.co.za.

What we collect

We only collect what we need in order to answer your enquiry. That is usually:

• your name
• your work email address
• your company name
• your cell number
• your answers to a few short questions about your business, for example how many phones you need

We do not ask for identity numbers, bank details or any other sensitive information in order to book a meeting.

How we collect it

We collect this information in three ways:

• when you submit a LinkedIn Lead Gen Form attached to one of our LinkedIn adverts, as described above
• when you message us or submit a form from one of our Facebook, Instagram or WhatsApp adverts, as described above
• when you book a meeting with us on our booking page, where you give us your work email address and your cell number

You give us this information yourself. We do not buy lists of personal information from anyone.

Why we use it

We use your information for two things only:

• to contact you about the enquiry you made
• to arrange and confirm a meeting with one of our consultants, including sending you the meeting invitation and telling you if anything about it changes

We do not use your information for anything you did not ask us about.

We do not sell your information

Outsource Digital does not sell, rent or trade your personal information to anybody, for any reason.

Who we share it with

We share your information only with the service providers we need in order to run our service, and only so far as they need it to do their job for us. These are:

• the companies that host our website and our database, so your enquiry can be stored securely
• our email and calendar provider, so we can send you a meeting invitation
• our messaging provider, so we can send you a confirmation by WhatsApp if you gave us your cell number
• the advertising platforms named below, in the limited way described there

These providers act on our instructions. They may not use your information for their own purposes.

We may also share information if the law requires us to, for example in response to a lawful request from an authority.

Adverts and measurement

Some of our pages carry the Meta Pixel and the LinkedIn Insight Tag. These are small pieces of code from Meta (Facebook) and from LinkedIn.

We use them to see how well our adverts are working — for example, how many people who clicked an advert went on to book a meeting — and to show adverts to people who have visited our pages before.

These tools are provided by Meta and by LinkedIn, and those companies also receive the information they collect. You can turn this kind of advertising tracking off in your browser settings, or in your Facebook and LinkedIn advertising settings.

Pages that do not carry these tools do not load them at all.

How long we keep it

We keep your information only for as long as we need it to deal with your enquiry and to keep a proper record of our dealings with you. When we no longer need it, we delete it.

If you ask us to delete it sooner, we will, unless we are required by law to keep it.

Keeping it safe

We take reasonable steps to protect your information. Access is limited to the people at Outsource Digital who need it to help you, and information is stored on secured systems.

No system can be guaranteed to be perfectly secure, and we do not claim otherwise.

Your choices

You can ask us at any time to:

• tell you what information we hold about you
• correct anything that is wrong
• delete your information
• stop contacting you

Email info@osd.co.za and tell us what you would like us to do. We will not charge you for this, and we will come back to you as soon as we reasonably can.

Children

Our service is sold to businesses. It is not aimed at children, and we do not knowingly collect information about children.

Changes to this policy

If we change this policy we will update the date at the top of this page. Please check back from time to time.
